Privacy Policy

Happ (“the App”) is the internal company operations assistant of Hanabana Construction (“we”, “us”). It is provided to employees and authorized personnel for work purposes such as messaging, voice and video calls, approvals, and business record-keeping. This policy explains what information the App collects, how it is used, and the choices you have.

Information we collect

  • Account information. Your name, work email address, employee number, role, department, and optional profile photo, provided by you or your employer when your account is created.
  • Messages and content. Chat messages, files, and images you send through the App, including conversations with the built-in AI assistant.
  • Business records. Requests, approvals, and other operational records you create or act on in the App (for example payment requests, job orders, and journal entries).
  • Call data. When you join a voice or video call, audio and video from your microphone and camera are transmitted to other call participants. Calls are not recorded. We keep basic call metadata (participants, start and end times).
  • Device and technical data. Push-notification tokens for your device, and standard technical logs (such as IP address, browser type, and timestamps) generated when you use the App.

How we use information

  • To operate the App: deliver messages, connect calls, route approvals, and maintain business records.
  • To power the AI assistant, which reads your messages to respond and to carry out actions you ask for.
  • To send notifications you would expect, such as new-message alerts, call invitations, and approval requests.
  • To secure the service, troubleshoot problems, and prevent abuse.

We do not sell your personal information, and we do not use it for advertising.

Service providers

The App relies on a small number of third-party processors to function. They receive only the data needed to provide their service:

  • Anthropic — processes AI-assistant conversations to generate responses.
  • LiveKit — relays real-time audio and video for calls.
  • Firebase Cloud Messaging (Google) — delivers push notifications to mobile devices.
  • Mailgun — sends transactional email on our behalf.

Device permissions

The App asks for permissions only when a feature needs them: camera and microphone for voice/video calls, photos or storage for attaching files, and notifications for alerts. You can revoke any of these in your device settings; the related feature will stop working but the rest of the App remains usable.

Data retention

Because the App is a system of record for company operations, messages and business records are retained while your employer’s account is active and for as long as required by company policy and applicable law (for example, accounting regulations). When your account is deactivated you lose access, and data is deleted or anonymized when it is no longer needed.

Security

Data is encrypted in transit, access is restricted by role-based permissions, and authentication uses short-lived tokens. No system is perfectly secure, but we work to protect your information against unauthorized access, alteration, and loss.

Your rights

Subject to the Philippine Data Privacy Act of 2012 (RA 10173) and other applicable law, you may request access to, correction of, or deletion of your personal information, and you may object to certain processing. To exercise these rights, contact us at the address below. Note that some records (such as accounting entries) may be exempt from deletion while a legal retention obligation applies.

Children

The App is a workplace tool for authorized personnel and is not directed at, or intended for use by, children.

Changes to this policy

We may update this policy from time to time. Material changes will be announced in the App, and the “Last updated” date above will always reflect the current version.
